What To Expect From A Day-Of Wedding Coordinator

Your wedding day is coming up! Between budgeting, food tasting, and selecting your venue, coordinating your day-of schedule might be the last thing you want to do. If you’re unsure where to start, let us help! 

Our Wedding Buddees are expert day-of coordinators that take care of everything from guest arrival to turning off the lights at the end of the night. We’re here to make your wedding the absolute best it can be. Read on to learn what to expect from a day-of wedding coordinator.

Pre-Wedding-Day Planning

Our day-of coordinators actually do much more than what is required on the day of the wedding. Our coordinators start working with couples up to two months before the big day. This consultation helps couples and coordinators to determine the day-of schedule and identify any gaps that still need to be addressed before the wedding day. 

We consider this meeting essential to the day-of services. Couples will be able to get any questions answered and get one step closer to a finalized plan for their wedding day schedule. This meeting will help start the process of finalizing the day-of timeline. Coordinators continue to communicate with our couples leading up to the wedding day to get a final timeline and distribute that timeline to vendors and the wedding party. This typically happens about a week before the wedding day. 

Day-of coordinators are also responsible for finalizing all vendors and communicating expectations on behalf of the bride and groom. It may surprise some that a day-of coordinator also runs any last minute errands to make sure everything is ready for the wedding day.

Day-Of Coordination

The big day has arrived! The wedding day is when your day-of coordinator really shines. No detail is too big or small for our Wedding Buddees. The list of day-of duties varies from wedding to wedding, but there are some general things you can expect from your day-of coordinator.

Day-Of Duties

Before, during, and after the celebration, your day-of coordinator will be busy with the following tasks: 

  • Assist vendors with set-up and decorations of ceremony and reception areas.
  • Ensure place cards, guest book, specialty items, bar,and tables are properly set up. 
  • Ensure every member of the wedding party is up-to-speed on the schedule and are properly dressed with corsage, flowers, etc. 
  • Remain available as an emergency first contact 
  • Greet or ensure there is a greeter at the door of the venue
  • Be readily available as the touch point for all vendor questions and needs
  • Communicate with catering and banquet managers to ensure food and drink are out on schedule
  • Manage schedule and timing including grand entrance, music, speeches, toasts, etc. 
  • Coordinate all reception details including cate cutting, first dance, dollar dance and any other reception event that the couple indicates they want included in the wedding day. 
  • End of the evening duties including the bride and groom send-off, collect gifts and transport to the wedding suite or another previously determined location. 
  • Ensure that all guests are able to utilize end of night transportation. 

This along with many other tasks make up your day-of coordination duties. We think that the most important duty is to remain flexible and give our bride and groom a day they will remember for the rest of their lives.
